Job Description

Purpose : The Medical Affairs (MA) Operations team focuses on driving performance through learning, technology, and the practice of innovation. The Senior Program Manager (SPM), Medical Affairs Operations serves as both a primary point of contact and strategic partner for Medical Affairs Operations. This role provides PM support for MA operations to meet its objectives within established timelines and budgets. The scope of this role is to handle PM responsibilities for all therapeutic areas for Imbruvica and is responsible for leading and managing operational, organizational, and reporting related activities within Medical Affairs.

Responsibilities:

  • The Senior Program Manager ensures that Medical Affairs operations are efficient and effective. Applies skills and tools to drive coordination of all approved tactics included in the annual Plan, including activities related to Advocacy/Professional Society Grants and Sponsorships, Advisory Boards, Symposia, conference booths and other medical meetings.
  • Provides leadership in the Medical Affairs Operations role in developing and/or facilitating business processes utilizing technology (where appropriate) to create the highest level of efficiency, productivity, and success possible within the Medical Affairs (MA) organization. Provides oversight or mentorship for staff or other junior employees within Medical Affairs, as requested.
  • Drives operational efficiencies by establishing process improvements, quickly identifying resolutions to issues, and developing communication plans within extended MALT members
  • Collects and communicates performance measures for MA operations. Partners and effectively influences cross functional senior leadership to optimize processes and deliver key performance metrics in a timely fashion. Monitors performance measures and takes appropriate actions when necessary. These measures include, but are not limited to, compliance monitoring to support audit readiness, and budgets across multiple GMA functions.
  • By monitoring performance measures identifies risks and communicates as needed. Additionally, actively seeks solutions and takes calculated risks where appropriate.
  • Works to develop and improve the tools, templates and processes that create and deliver MA’s outputs. Navigates and anticipates upcoming “planning” processes and deliverables (e.g. LRP, Medical Business Planning).
  • Compilation, submission and maintenance of key MA documents such as Med Affairs Plan, Annual Compliance Plan, team headcount and org chart.
  • Manage SharePoint site, generated presentations, minutes, attendees for clear and organized documentation purposes, etc.
  • Coordination of current financial year activities focusing on collection and reporting of tactical execution, metrics, and financial status/LBE information and maintaining adherence to budget/headcount for project tactics.
  • Responsible for compliance with applicable Corporate and Divisional Policies and procedures. Ensure activities maximize value and support GMA activities on time and in budget and in compliance with the Outsourcing, Purchasing and compliance process parameters .

Requirements:

  • 4+ years of experience in the biopharmaceutical industry in Project/Program Management, Medical Affairs, or Operations
  • Demonstrated experience and track record for timely planning and execution of key initiatives, department priorities, and project coordination
  • Demonstrated ability and proficiency to work in teams and coordinate across multidisciplinary, nimble, and fast paced matrix teams
  • Possesses a sense of urgency; identifies and escalates challenges and problems and takes the initiative to propose solutions.
  • Demonstrated budget and resource management skills
  • Ability to build high level medical/scientific knowledge, and to grasp complex concepts quickly
  • Proven ability in establishing and maintaining cross-functional relationships with a wide range of internal and external stakeholders
  • Excellent written and oral communication skills
  • Travel 10-15%

Education:

  • Bachelor’s Degree in Life Sciences or equivalent
  • Master’s Degree in Business Administration desirable
